📄 How to Print to PDF (Save as PDF)

Sometimes a physical printer isn't available, or it simply doesn't make sense to print a document on paper before emailing it or uploading it to Google Drive.

The best solution is to Print to PDF. This feature creates a digital file of your document that looks exactly like a printed page. It is built into most modern computers (Windows, Chromebooks, Macs) and browsers.

🖨️ Instructions

  1. Open the file or page you wish to save.
  2. Initiate the Print command just as you normally would (File > Print, or use the keyboard shortcut Ctrl + P).
  3. In the Print Preview window, look for the Destination or Printer dropdown menu.
  4. Change the destination from your physical printer to Save as PDF (or "Microsoft Print to PDF").
  5. Click the Save button (instead of "Print").

💾 Saving Your File

Once you click Save, a File Save Dialog box will appear:

  • Choose a Location: Select where you want the file to go. The default is usually your Downloads folder, but you can choose Desktop, Documents, or Google Drive.
  • Name the File: Give your PDF a recognizable name.
  • Finish: Click Save to finish the process.
Tip: This is the perfect method for saving confirmation receipts, articles for class, or student work that needs to be archived digitally!
